JOB APPLICANT
DATA PROCESSING & BACKGROUND CHECK CONSENT & AUTHORISATION FORM
Dear Candidate,
Thank you for your application.
The below information concerns the interview stages and procedures of M.S Security Group.
In order to process your application, you will be requested to provide us with certain personal data. We shall request specific information at each step of your application and process the same in the manner described below:
1. Collection Stage - Upon application:
1.1 Type of personal data requested.
•Curriculum Vitae (CV);
•Contact details (address, telephone number, email etc.);
•Former employer;
•Positions held at previous jobs;
•Qualifications/Skills;
•References background check.
1.2 The purpose of processing your personal data at this Stage, is to assess whether your profile fits any current or future positions.
1.3 The retention period of the above listed personal data is 12 months unless otherwise instructed. At the expiry of the 12-month period, your personal data will be removed/erased from our database.
2. Collection Stage - During interviews:
2.1 Type of personal data requested.
•Copy of your Passport/ I.D;
· Full length photo of yourself
•Medical and mental fitness Certificate;
•Military Service Certificate;
•Criminal Record Certificate;
•Reference letter from previous job.
•Emergency contact’s details and Next of Kin (NOK).
2.2 The purpose of processing your personal data at this Stage, is to confirm that you fulfil the basic and mandatory requirements of the job, assess your physical and mental fitness to perform the duties associated with the nature of the job (which requires among other things the lifting of heavy objects, climbing stairs, patrolling for long periods etc.). We also use some of the information to make the necessary arrangements such as flights, transportation, accommodation etc during your training (as applicable) and maintain the contact details of your Next of Kin (NOK) for emergency purposes.
2.3. The retention period of the above-listed personal data is 12 months unless otherwise instructed. At the expiry of the 12-month period, your personal data will be removed/erased from our database.
3. Collection Stage - Upon completion of the training:
3.1 Type of personal data requested.
· Medical certificates/confirmations/tests for:
i. yellow fever, MMRV and other vaccinations;
ii. Any virus (as needed);
iii. Drug and Alcohol tests;
· SMB (Seaman’s Book), STCW, PDSD, SSO, Trauma Treatment Training, Firearms Training and any other Training / Competency Certificates.
3.2 The purpose of processing the above listed personal data at this Stage is to comply with the regulations and requirements of Home States, Flag States, Port States, Authorities, Agencies and Organizations, as well as the practices of shipping and security industry.
3.3 The retention period of the above-listed personal data is 12 months unless otherwise instructed. At the expiry of the 12-month period, your personal data will be removed/erased from our database.
We may share your personal data with affiliated companies within the M.S Security Group and/or partners and/or contracting third parties/ clients / port agents/ training centers etc., where necessary for the purpose of performing our duties and obligations and to evaluate your skills and qualifications prior to offering you a contract with our organization.
If you believe that any information, we are holding on you is incorrect or incomplete, please email us as soon as possible and we will promptly correct any information found to be incorrect.
CONSENT & AUTHORISATION
By ticking the box below, I, freely give to the M.S Security Group, my consent for the purpose of processing my personal data for my job application, for a period of 12 months from the date of submission of my application.
With my consent I understand that:
I can request to access any personal data held about me and to verify its accuracy at any time.
I can request my personal data to be erased and/or removed from the M.S Security Group's archive.
I can request correction of the personal data held about me at any time.
I can object to the processing of my personal data.
I can request restriction of the processing of my personal data.
I can request the transfer of my personal data to me or a third party.
I can withdraw my consent for the processing of my personal data at any time.
I also understand that if my job application is rejected, my personal data will be erased from the database of M.S Security Group at the expiry of the retention period of 12 months adopted by M.S Security Group.
To exercise any of the above rights or to revoke my consent for the processing of my personal data by M.S Security Group (as applicable), I will contact the Data Protection Officer (“DPO”) of the M.S Security Group, directly at dpo@mano-security.com.
I, further, give my authorization and consent to the companies of the M.S Security Group to:
1. Process any of my personal data in relation to the job application I have submitted.
2. Process the certificates of Criminal Record, Military Service, as well as any other certificate I have furnished the M.S Security Group with.
3. Conduct pre-contractual background checks, and process information provided by previous employers, which include:
i. Previous Employment records
Verification of previous employers, company names and locations, as well as dates of employment, positions or titles held and compensation (when available).
ii. Professional Reference Check Report
Request references and information about my employment from the referees I have indicated.
* Please note that responses to such questions are outside the control of the M.S Security Group. Please remember that if you wish to access the results of such a reference you should make a request directly to the referee, with a copy to the M.S Security Group.
4. Contact Sources in order to verify the personal data provided by myself during the application process and to provide to Sources my:
a. Name;
b. Date of birth;
c. ID / Passport Number (where lawful); and
d. Supporting documents provided by myself, including medical certificates.
5. Transfer the personal data to sources and/or representatives which may be located outside of the European Economic Area (the “EEA”) or my country of residence, if required to complete the verifications.
With this declaration, I also give my authorisation and consent to any Third-Party Sources to process my personal data for any enquiry made by the companies of M.S Security Group, during the process of the background screening.

• Current Employer
• Previous Employer
• Academic Institutions
• Professional Bodies
I hereby confirm that, my consent is given freely and voluntarily, and I understand that I can withdraw my consent at any time by contacting M.S Security Group’s Data Protection Officer (“DPO”) at dpo@mano-security.com.
I declare that the information I have submitted for my job application, is true, complete, and correct.
